Frequently asked questions

What is an appointment letter?

An appointment letter is the formal document an employer issues when a candidate joins, confirming the appointment and the key terms of employment: job title, department, salary, joining date, probation, working hours and notice period. The employee usually signs and returns a copy to accept.

What is the difference between an appointment letter and an offer letter?

An offer letter comes first and proposes the job, asking the candidate to accept before joining. An appointment letter is issued on or around the joining date and is more formal and binding: it confirms the appointment and spells out the full terms and conditions the employee agrees to by signing it.

What should an appointment letter include?

At minimum it should state the position and department, the date employment begins, the compensation, the working hours, the notice period and any probationary period, plus a line for the employee to sign and date as acceptance. This tool builds all of those sections for you.

Do I need to set a probation period?

No. Probation is optional. If you leave the probation field blank or set it to zero, the generated letter simply omits the probation clause, which suits roles or jurisdictions that do not use a probationary period.

Is my data sent to a server?

No. The letter is generated entirely in your browser with JavaScript. Nothing you type, including names and salary figures, is uploaded, logged or stored, so it is safe to use with confidential employee details.

Is this appointment letter legally valid?

It produces a clear, professional draft using common employment terms, but it is not legal advice. Employment law varies by country and state, so have your HR team or a lawyer review the wording and add any clauses your jurisdiction requires before issuing it.
