Annual Leave Calculator
Work out how much paid annual leave you have built up part way through the year. Enter your full-year entitlement, then either the percentage of the year worked or your start and end dates, and the calculator shows accrued days and what is left after any leave already taken. How to calculate accrued annual leave
- Enter your full-year entitlement in the days field.
- Choose the Percent of year tab and type the share worked, or switch to the From dates tab and pick a start and end date.
- Enter any days already taken in the Days already taken field.
- Read the Accrued so far and Remaining cards, then use Copy to save the summary.

Frequently asked questions
How is pro rata annual leave calculated?
Multiply your full-year entitlement by the share of the year you have worked. If you are entitled to 25 days and have worked half the year, you have accrued 12.5 days. Subtract any leave already booked to get your remaining balance.
How do I find the share of the year worked?
You can type it directly on the Percent of year tab, where half a year is 50 and a full year is 100. Or switch to the From dates tab and enter a start and end date, and the tool works out the percentage for you.
How does the From dates option count the year?
It measures the gap between your two dates and divides by 365 days, then clamps the result to a maximum of one full year. It does not account for leap years, so late February spans may be a fraction of a day out.
How are part days handled?
Accrued and remaining figures are rounded to two decimal places, so half days such as 12.5 appear exactly. The days-taken field steps in halves. Many employers round the final balance to the nearest half day, so check your own policy.
Can the remaining balance go negative?
Yes. If the days you have taken exceed what you have accrued so far, the Remaining card shows a negative number and its colour changes. That means you have used leave in advance of building it up.
Does this include bank holidays or carry-over?
No. It treats your entitlement as a single pool of days, so you should include or exclude public holidays to match how your entitlement is defined. It also does not add leave carried over from a previous year unless you fold it into the entitlement figure.
Does it work for part-time or term-time staff?
Yes, if you enter a part-time entitlement. Part-time leave is usually pro rated to the days worked per week, so calculate that annual figure first, then use it as the full-year entitlement here.
Is this legal or payroll advice?
No. It is a quick arithmetic aid, not a statement of statutory entitlement. Rules on accrual, rounding and minimum leave vary by country and contract, so confirm the numbers against your employment terms.
Is my data private?
Yes. The whole calculation runs in your browser, so your entitlement, dates and leave taken are never uploaded to a server or stored anywhere.
